Can You Limit the Number of a Product Sold in Kartra? (2021 Edition)

If you’re using Kartra, or you’re thinking about using Kartra..and you’re wondering if you can limit the number of times one of your products can be sold, this article is for you.

To cut to the chase, as of writing (April 2021), Kartra does not give the ability to limit number of times a product is sold, but there is a work-around using Zapier which we will discuss in this article.

With the work around, we can at least notify ourselves when our product has been sold a number of times, then we can more quickly switch the product to being unavailable.

The Workaround

With the work-around, you at least do not need to keep on checking Kartra. Instead, you will receive a message or an email saying,

“Hey, you’ve reached the limit of what you wanted to sell of a specific product. Go turn it off”..

As mentioned, we’ll need Zapier to achieve this.

Connect Zapier to Kartra

The first step is to connect Zapier to Kartra.

In Kartra, go to “My Integrations”..

Search or scroll to find Zapier. Click the drop-down and select, “Request activation”.

You’ll need to explain your goal, “I’d like to use Zapier to notify myself when a certain number of units of a product has been sold”.

There should be little reason your request will not be approved.

The Kartra side of things is done.

Setup Zapier

The goal of the Zap we are setting up:

Zapier has functionality called “Storage”. Usually when tasks in Zapier run, they do not know about each other, and they do not share data.

“Storage” in Zapier allows us to share information when different tasks run.

This is going to allow us to store an increasing count of the number of units sold, and notify ourselves when a certain number is reached

Add a Kartra Product Purchase as Our Trigger

Choose the product and price point that you’re interested in

There is only one important thing to mention about this step.

This trigger watches just one specific product in Kartra, at any price point.

If you wanted to monitor multiple products, and or specific price points, this setup will not work as expected, and ultimately you will need multiple Zaps setup.

(You would essentially be duplicating the Zap we’re setting up)

Add Storage to Zapier

We will choosing the “Increment Value” step. And increment by 1.

If you’re adding Storage for the first time, you’ll get a pop-up telling you to set it up. There is a tutorial linked, and the tutorial below are the most straight forward.

After you choose the action

Very important: You can set the key as anything you like (the product name is usually best), but this must be unique across all your Zaps. This is even more important if you’re going to set up multiple products to watch. If you use the same key between different Zaps and tasks, the number is going to get unexpectedly increased.

Fortunately we not do have to fetch the result after increasing the value because the new value is returned.

Filter to Check the Count

In this step, we’re simply checking if the returned value from the previous step, is equal to the number that we want to limit the product to.

Send Yourself a Notification

In the last step, I’m not going to go into detail. Now we want notify ourselves that the number has been reached.

In the last step, you can use

  • Send yourself an email
  • Send yourself an SMS
  • Send yourself an email using Gmail
  • Send yourself a message in Slack
  • Etc

Whichever you prefer.

Summary

Kartra does not have the ability to limit the number of units of a product sold.

The workaround is to use Zapier to notify ourselves when the number of units that we want to limit a product to has been reached.

Then we can quickly turn off the product in Kartra instead of having to check Karta every couple of hours or days.
